The Hidden Cost of Complexity in Your MSP
If there’s one thing I’ve learned working with MSPs, it’s that complexity is expensive.
Not just in dollars - although the operational drag will definitely hit your bottom line - but in time, attention, and opportunity.
And the hard part? Most of the time, you don’t even see it.
We get comfortable with “the way things are.” We layer on new tools. We tack on new processes. We ask people to juggle them all. Over time, we forget to ask one of the most important questions:
“How hard is this for someone to learn, use, and keep using?”
It’s Not Just About Features or Integrations
When MSPs look at their tech stack, the conversation often starts with:
- What features does it have?
- What does it integrate with?
Those are valid questions - but they’re not the whole picture.
I recently sat down with Brian Gillette on Episode 21 of The MSP Sales Podcast, and shared why we also have to think about accessibility and usability.
The best tool in the world isn’t doing you any favors if half your team avoids it, or if it takes months for new hires to figure it out and make it part of their routine. Your processes slow down, errors creep in, and consistency disappears. And then when staff turnover happens, the complexity gap widens even more.
Because here’s the thing, adoption is everything.
Complexity Has a Real Price Tag
Here’s the reality:
- Every time a process is too hard to follow, people improvise.
- Every time a tool is too clunky to learn, adoption across your team will suffer.
- Every time you rely on tribal knowledge, turnover resets the whole process.
All of that adds friction. And friction is the enemy of effective scaling for an MSP.
The more complexity you allow to creep into your operations, the more you will pay in lost productivity, stalled projects, and the inconsistent delivery of your services.

Think Like a Business Consultant (No Matter Your Role)
One of my biggest pieces of advice: you don’t need to be the CEO to spot operational waste. It's everyone's job.
Put on the business consultant hat. 🎩
Ask yourself:
- Is this process easy to understand?
- Could I explain it to a new hire in five minutes?
- Is there a simpler way to achieve the same outcome?
Streamline. Simplify. Make your processes easy to understand and easy to communicate.
It’s more than just operations… MSPs should think of this as a competitive advantage.
Every extra step you eliminate, every process that you automate, and every unclear instruction you rewrite is time you get back. The MSPs that win long-term aren’t just the ones with the best technology, they’re the ones whose operations are so clear and frictionless that anyone stepping in can hit the ground running from day one.
The Bottom Line
Complexity isn’t just a nuisance. It’s a silent cost that compounds over time.
So take a step back. Audit your processes. Challenge your assumptions.
And remember: the tools and workflows that help you grow are the ones that are simple enough for anyone on your team to understand, adopt, and improve.
